Privacy Policy
This Privacy Policy explains what data Efficient AI Algorithms ("we," "us," "our") collects, how we use it, who processes it on our behalf, and your rights. It applies to algorithmsdata.io and our Services (Deliverability, AI Automation / Omnichannel, and Data Intelligence & Hygiene).
1. Data we collect
- Account data: your email and a hashed password, and basic profile/company information you provide.
- Payment data: processed by Stripe. We do not store full card numbers; we receive limited billing metadata (e.g., last four digits, status) from Stripe.
- Business content you provide: for the AI Automation platform, the content you upload to power your bot (menus, FAQs, services, documents); for Data services, the files/lists you submit for processing.
- Interaction data: messages and interactions that pass through your bot, and usage/volume metrics needed for billing and overage calculation.
- Diagnostic data: for the free scan, we query public DNS for the domain you enter — the same public data any third party can see. (See Section 6.)
- Technical data: standard logs (IP, timestamps, error data) needed to operate and secure the Services.
2. Third-party AI sub-processors (important disclosure)
To operate the WhatsApp/Omnichannel bot and document processing, relevant content is processed through third-party AI providers — Anthropic, OpenAI, and DeepSeek. This means the business content and interaction content needed to generate responses or process documents is transmitted to and processed by these providers under their respective terms. We disclose this openly because it is how the AI features work. The full list is on our Sub-processor Disclosure.
We select these providers to deliver the Service and limit what is sent to what is necessary for the feature to function. We do not authorize them to use your content to train their models beyond what is necessary to provide the service.
3. Data Hygiene is processed locally — no third parties (privacy advantage)
Our Data Intelligence & Hygiene service (list cleaning, deduplication, bounce removal) is processed entirely on our own infrastructure, without sending your file to any third-party AI provider. Your uploaded data files for this service are not transmitted to Anthropic, OpenAI, DeepSeek, or any external AI processor (see our Sub-processor Disclosure). This is a deliberate, verifiable design choice and a real privacy difference between this service and the AI-automation service described in Section 2.
Files submitted for hygiene are processed in isolated environments and are not retained after processing beyond what is described in Section 7.
4. How we use data
We use data to: provide and operate the Services; authenticate you; process payments and calculate billing/overage; generate bot responses and process documents (via the sub-processors in Section 2, for AI features only); clean data (locally, Section 3); maintain security; and meet legal obligations. We do not sell your personal data to third parties.
5. Where data is stored
The Services run on third-party cloud infrastructure (database and server hosting). Data is processed and stored in the cloud as needed to provide the Services. We do not publish sensitive infrastructure details, but we disclose that cloud processing occurs.
6. The free scan
The free deliverability scan reads only public DNS records for the domain you submit — the same information any sender or attacker can already query. It does not require a login and does not access any private mailbox or internal system.
7. Retention
We retain each category of data only as long as needed for the purpose it was collected, for legitimate business needs, or as required by law, then delete or anonymize it. As a general rule, we retain your customer data for up to 30 days after cancellation or termination — so it is available for review at your request — after which it is deleted from our servers. Billing records are retained for as long as required by tax and accounting law.
8. Your rights
Depending on your location, you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing (for example under GDPR-style laws or the CCPA/CPRA in California). To exercise these rights, contact us at the address in Section 10. We will respond as required by applicable law.
9. Security
We use reasonable technical and organizational measures to protect data (including hashed passwords, encrypted transport, and access controls). No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
